WebinarDesk
One registry for every scheduled session
A first-class webinar registry: clinical track, faculty, date, Zoom link, capacity, sponsor, waitlist. Shared by the agent, the matcher and every reporting dashboard.
- 1 Registry shared by every downstream service
- Series Support — multi-session formats under one object
- Waitlist Built in, priority-ordered, automatic
WebinarDesk is the registry of every scheduled session — past, present and future. It holds the things that matter for outreach and reporting: the clinical track (which feeds SpecialtyMatch), the faculty (which the agent may mention), the date and time (which the planner uses), the Zoom or Teams link (which the registration confirmation inserts), the capacity (so the invitation list can be sized), and the sponsor (so the reports can attribute attendance revenue).
The desk treats a webinar as an object, not a calendar entry. A calendar only holds "when"; the desk holds "what", "who", "why" and "for whom". Campaign managers plan waves from it, faculty bios flow from it into the KnowledgeBase, and post-webinar attendance reports reconcile against it.
Waitlist is built in. A webinar that fills up does not reject the next registration — it puts the doctor on a waitlist that is processed in priority order (SpecialtyMatch score, prior attendance, registration timestamp). If a seat opens up, the platform reaches out through the same cadence the invitation used.
Sessions link forward and backward. A two-part series is a single webinar object with two sessions — registrations, reminders and attendance roll up to the series for reporting, while each session has its own link and its own cadence. Complex formats (series, panels, workshops) stop being a reason to leave the platform for a standalone event tool.
Everything WebinarDesk handles for you
-
First-class webinar object
Not a calendar entry — carries track, faculty, sponsor, capacity and waitlist.
-
Track-aware
Clinical track is the axis the specialty matcher uses for eligibility.
-
Sponsor attribution
Every attendee is traceable to the sponsor funding the session — for pharma-grade reporting.
-
Waitlist built in
Fill-ups do not reject — they queue and promote as seats open.
-
Series support
Multi-session events roll up to a series while keeping per-session cadence.
The registry shared by every other service
WebinarDesk is the noun every other service reads. The matcher reads it for tracks, the planner for timing, the agent for faculty, the report for attribution.
- SpecialtyMatch reads the clinical track to build the eligibility list.
- CadenceConductor reads the session times to schedule reminders.
- AttendancePulse reconciles live-room presence against the registry.
- AIM CRM records registrations and attendance as contact activities.
- Billing attributes per-registration and per-attendance charges to the sponsor.
